The Performing Arts Fund processes personal data for this purpose and for the processing of grant applications. Those whose personal data is processed by the Fund can rest assured that their personal data will be handled with care. Whether you are an applicant, an interested follower, a business relation, a volunteer or a visitor to the website. Your personal data will be treated and secured with the utmost care.
The Performing Arts Fund complies with national and European privacy laws and regulations. In this privacy statement, we inform you about how we handle your personal data. For more information about the regulations, please also refer to the website of the Information Commissioner's Office.
This privacy statement may change from time to time as new developments give cause to do so. We recommend that you consult this privacy statement regularly so that you are aware of these changes.
Who is responsible for processing your personal data?
The Dutch Performing Arts Fund, with its registered office at Koningin Julianaplein 10, 2595 AA in The Hague, is responsible for processing your personal data.
First and last name, gender, email address, residential address, telephone number, education and career details, and details from the extract from the Chamber of Commerce: We process this data insofar as it is necessary for the assessment of, and decision-making on, the grant application. This information may be requested from the main applicant, co-applicants, but also from any co-financiers, partners, advisors, and the staff assembled for a project (the ‘committee’). In addition, this information is processed for the purposes of a job application procedure.
First and last name, telephone number, email address, content of the objection: this data is processed for the purpose of handling objections to decisions made by the Performing Arts Fund.
Bank account number (IBAN): In order to make a payment possible – for the purpose of granting a subsidy – we need to process your payment details. In addition, we automatically receive your payment details when a payment is made via the website.
BSN number: the BSN number is only processed if we have a legal basis for this in accordance with the General Provisions on Citizen Service Numbers Act (Wabb) and need this number to perform our public task. In this case, that means providing a subsidy.
Photo and video material: when applying for a grant, you may be asked to provide photo and video material, such as links to online registrations. Each scheme specifies the role this material plays in the assessment. In addition, applicants may include visual material in their application, for example in an action plan. This is purely for the purpose of “formatting” the application and is not assessed by the Fund.
Preferences: you can indicate whether or not you wish to receive the digital newsletter about all kinds of matters related to the Performing Arts Fund, including publications. We tailor this newsletter to your preferences as much as possible. For further information about our newsletter, see the heading “newsletter”.
In very exceptional cases, criminal or special personal data is collected. This only happens if it is legally permitted and necessary for processing. For example, in the context of subsidy programmes aimed at promoting certain minority groups.
In addition, we may use your personal data if we have a legitimate interest in doing so. In the context of this legitimate interest, we ask for your name, place of residence, email address and address details. This data can be used to identify you as a person, to send service messages regarding your grant application by email, and to contact you for the purpose of researching the impact of the public task and the effectiveness of grant schemes. In addition, we process this data when an objection, appeal, complaint and/or other formal request (e.g. a WOO request) is submitted.
We can also invoke a legal basis. As a government agency, the Performing Arts Fund must be as transparent as possible about how it performs the tasks assigned to it. With this in mind, the Performing Arts Fund publishes key information about the subsidised projects on its website (in accordance with the Open Government Act). This includes the name of the main applicant, the title of the application (the “project”), the institution, the institution's website address and (where applicable) a public summary of the project (or a short biography).
The final basis on which we can rely is consent. For example, we will only send you our newsletter if you have expressly indicated that you wish to receive it (see the heading “Newsletter”). We also regularly ask for consent to share visual material in an application form and ask applicants for a grant to share photo and video material with the Fund themselves for the purpose of promoting the performing arts.
Finally, not all the data we process can be traced back to you. For research into grant applications, procedures and the handling of formal requests to improve the quality of our services, survey results are processed anonymously.
If you no longer wish to receive the newsletter, you can unsubscribe free of charge using the link at the bottom of each newsletter, known as the “opt-out”.
We retain data relating to rejected grant applications for five (5) years. We retain data relating to approved grant applications for twenty (20) years. At the end of this period, the application files are transferred to the National Archives in accordance with the retention periods specified in the Public Records Act.
Exceptions to this are data that we are required to retain for longer because we are obliged to do so by law or because of our legitimate interest. For example, tax laws and regulations require us to retain certain financial data for seven years. Information about the handling of questions or complaints is retained for a maximum of two years after they have been resolved. A retention period of five (5) years is applied to documentation relating to WOO and/or GDPR requests. After that, the data is destroyed.
the right to request information about the processing of your personal data;
the right to have your personal data transferred to another party (data portability)
the right to change your personal data;
the right to withdraw your consent, if the processing is based on consent;
the right to have your data deleted if the data is no longer necessary for the purposes for which it was obtained or if you withdraw your consent. You do not always have the right to have data deleted; exceptions may apply; and
the right to restrict processing.
If you wish to have your personal data amended or deleted, you can request this by emailing privacy@fondspodiumkunsten.nl. To prevent third parties from accessing your data and to enable us to confirm your identity, you must accompany your request with a copy of your valid ID.
We will process requests relating to these rights within one month, but we reserve the right to extend this period to two months. If we do so, we will inform you in good time. Please note that a request cannot always be granted. If we have a reason not to comply with your request, we will of course inform you accordingly.
